About You and This Role:
This role serves as a key technical resource within the Global Maintenance Work Process (GMWP), focusing on cost management and contractor payment execution. The position ensures accurate, timely, and compliant processing of contractor invoices, leveraging digital tools like AES and Track to streamline workflows. The role collaborates cross-functionally with procurement, finance, and maintenance teams to resolve payment issues and drive continuous improvement in cost control and transparency.
Responsibilities
Payment Processing
- Manage end-to-end contractor invoice workflows using systems such as AES and Track.
- Validate invoice accuracy against contract terms, time records, and job completion data.
- Resolve discrepancies proactively to avoid payment delays or disputes.
Compliance and Documentation
- Ensure all payment activities align with internal policies, audit standards, and regulatory requirements.
- Maintain detailed records for audit readiness, including cost center allocations and settlement documentation.
Cross-Functional Collaboration
- Partner with Procurement, Finance, and Maintenance Execution Services (MES) to ensure seamless contract-to-pay operations.
- Act as a liaison between contractors and internal stakeholders to address payment-related concerns.
Reporting and Metrics
- Generate and present regular reports on payment status, outstanding invoices, and cost center performance.
- Support forecasting and cost review processes by flagging anomalies or unexpected variances.
System Management
- Operate and maintain digital platforms like AES, Track, and SAP (CATSMM) for contractor time and cost validation.
- Troubleshoot system issues and coordinate with IT or system owners for resolution.
Continuous Improvement
- Identify inefficiencies in the payment process and propose enhancements to improve accuracy, speed, and transparency.
- Contribute to the evolution of contractor management tools and practices, including integration with planning and performance systems.
Required Qualifications
- A minimum of high school diploma or equivalent.
- Associate’s degree in business, finance, or a related field preferred.
- A minimum of 10 years of relevant experience. ( i.e. cost management, maintenance, operations, contractor administration or related experience)
- Familiarity with Global Maintenance Business Rules and cost center structures is preferred.
- Experience with AES, SAP (CATSMM), and Track software for contractor time and cost validation is preferred.
- Understanding of internal order (IO) and plant maintenance order (PMO) settlement processes is preferred.
- A minimum requirement for this U.S. based position is the ability to work legally in the United States. No visa sponsorship/support is available for this position, including for any type of U.S. permanent residency (green card) process.
